What it is

A commercial submission is a pile: ACORD 125, 126, 140, 130, a supplemental app from the carrier, five years of loss runs in three formats, a schedule of vehicles as a spreadsheet, and an email from the prospect that contradicts one of them. Someone in your office keys that into the AMS and then discovers what is missing. The Quote-Intake Agent does the keying and the discovering first.

Per submission, the agent:

  • extracts structured data from every document in the submission, including scanned PDFs and photos of paper;
  • reconciles conflicts between documents and reports them rather than picking one silently;
  • creates or updates the prospect, contacts, locations, and the opportunity in the AMS;
  • produces a gap list against what your target carriers will ask for, by line of business;
  • notifies the producer with the gap list and a link to the AMS record;
  • optionally exports to your rating platform's import format.

What it is not

  • It does not rate, does not pick markets, and does not submit to carriers.
  • It does not make appetite calls.
  • It does not accept a submission as complete. Its job is to tell you what is not there.

How we work with you

The work is billed hourly on a time-and-materials basis. A typical engagement runs about five weeks: general liability, property, auto, and workers' compensation intake come first, and specialty lines with their own supplementals add hours per line.

  • Silent run first. Extraction and reconciliation run against your last 90 days of submissions, measured against what was actually keyed.
  • Write-back and gap rules. AMS write-back turned on, gap-list rules tuned to your carriers.
  • Supervised go-live. Producer notifications live for one team, then rollout with a runbook and an accuracy report.

Ongoing operations work keeps it accurate as carriers and the AMS change.
